ARCADIA INVITATIONAL XXXVIII
FINAL MEET DETAILS/INSTRUCTIONS

Dear Coaches… Welcome to Arcadia Invitational XXXVIII !!!

Please review the following information so that you are up to speed this weekend!

SCRATCHES:
If for any reason one or your selected athletes/relays cannot participate this weekend, please notify the Clerk of the Course immediately so that we may enter an alternate. This will ensure full fields in each event.
REMINDER: SCRATCHES AT THIS TIME WILL STILL BE CHARGED AN ENTRY FEE.

CREDENTIALS:
This team packet (credential) contains your gate passes, your team’s event listings, final instructions, heat sheets, bib numbers, safety pins, spaghetti dinner tickets, etc. Spaghetti meal tickets are for athletes participating in the Saturday evening session of the meet only (plus two coaches). All others who wish to eat dinner can do so by paying $3 at the cafeteria door. There is no spaghetti dinner on Friday.

Remember, credentials will not be issued and athletes cannot compete unless entry fees are paid.

ATHLETE’S ADMISSION:
Only Athletes and Coaches are allowed to enter through the participant’s entrance. All others must enter the stadium through the regular admission gates. Please have your gate passes ready for collection. If you need to exit and re-enter the stadium area, you must have your hand stamped at the exit.

SPECTATOR ADMISSION:
Spectators may only enter through the gate antrances adjacent to the ticket booths. No spectators will be allowed in the Participants Area.  Admission prices for Friday are $5 for adults, student and children. Ages 3 and under are allowed free. Admission prices for Saturday (good for all day) are $12 for adults. $7 for high school students with ID, and $5 for children. Anyone age 3 and under is allowed free. Color souvenir programs with event entries, schedules, event previews and photos are on sale for $5.

SCHEDULE OF EVENTS:
See enclosed UPDATED time schedule. In particular, note that the boys’ and girls invitational pole vault on Saturday now have new start times.

DRESSING FACILITIES:
Locker rooms are not available. Restroom facilities are provided.

SPIKES:
3/16” needle or pyramid spikes are required on our synthetic track and runway facilities. Spikes will be checked at the Athlete’s Gate, and a second time at the Field Event and/or Starting Line. If needed, 3/16” spikes will be on sale near the Participant’s Entry Gate.

CLERK OF THE COURSE:
The Clerk of the Course check-in for athletes is located at the oversized (30 feet by 50 feet) white tent just outside the southwest corner of the track fencing. Field event athletes must enter the field through this Clerk of the Course check-in area also. Track athletes are responsible for checking-in with the Clerk by the last call of their event. Field event athletes are responsible for checking in directly with the head judge at their field event area by the last call for their event. If this is not done, an athlete will be scratched and replaced by an alternate. Please have your athlete or a coach, listening for these calls from the Clerk of the Course area.

CALL SCHEDULE:
20 minutes prior to an event - first call
15 minutes prior to an event - second call
10 minutes prior to an event - third call and check-in with clerk
(Alternates will be entered in the race if athletes have not reported by this third and final call)

We have assigned alternates who will replace athletes who do not show up by the final call. Athletes in BOTH a field event and a running event must keep up on the time schedule and calls for their events. A field event athlete must return and check in with the Clerk of the Course, who will direct them to the staging area also included in the over-sized white tent. At the staging area, athletes will be assigned lanes, given hip numbers for the automatic timing, and then taken to the start area. Athletes may keep their warm-ups on until they reach the infield. A reminder: Spikes will be checked again at the starting line. Exit from the track will be allowed only through the southwest gate.

STAGGERS:
ALLEYS: The 800’s, Miles, Two-Miles and distance relays will use a one-turn stagger with 5-9 individuals in a three lane
alley. As will be explained by the starter, athletes may break to the pole at the beginning of the backstretch. yellow flag). Mile/2-Mile: The mile and two-mile races held during the night meet will be started using a waterfall start or alleys, depending upon the size of the field. If using a waterfall start, athletes may break immediately, as long as safe to do so.

1600 RELAY STAGGER: As preparation for championship meets, the Arcadia Invitational will be using “three turn staggers” for the 1600 meter relay races. This means that the #1 runner will run his entire leg in the team’s assigned lane, with the #2 runner lining up at the starter’s direction in the team’s lane. The #2 runner will need to stay in the team’s assigned lane until the “break point” at the beginning of the backstretch. (Yellow flag).

In each flight will rotate in, taking three trials each. Nine athletes will qualify for the finals. Each athlete
who qualifies will then have three additional attempts in the finals, in reverse order of the trials performance.

reporting to the event. The release forms should be in your packet and are also available in the Credentials
Area.

FIELD EVENT TIME LIMIT:
The NFHS time limits in the field events will be strictly enforced. The only exceptions will be when an athlete obtains an official’s permission to leave for another event. THROWING SECTORS:
A 40-degree throwing sector is being used in both the shot put and the discus.

ALL Relay teams will be required to use Invitational meet batons. They will be issued to your #1 runner at the starting line and collected from the #4 runner. No other relay batons will be allowed.

Additionally, Nike ID/Arcadia Invitational watches will be presented to the runner-up athlete/relay in a select few featured events. The top five competitors in each non-relays heat (including the winners of all “Seeded” and “Open” events) will receive medals for the field events and individual track events. For the relay events, custom batons will be presented instead. Immediately after the conclusion of their event, all first through fifth place winners are to report to the awards area to receive their medals. It will be in the white tent located at the West end of the stadium on the warm-up field. If the athlete/relay is the winner of the Invitational heat, they are to claim their Nike ID watch at the interactive Nike ID display. IMPORTANT: Due to the recent addition of several heats to accommodate the overwhelming volume of entry requests this year, recipients of medals for the first four heats in Event #1 and Event #2 will only go three deep We apologize for this inconvenience, but we felt it imperative to add extra heats to accommodate all the excellent athletes entering this year.

ATHLETE OF THE MEET AWARD:
At the end of the “Invitational Session” Meet, special certificates for custom-made Nike ID spikes will be presented to the male and female Athlete of the Meet. These outstanding “Invitational” meet athletes will be selected by members of the working press just before the start of the 1600-meter relays.

PARTICIPANTS AREA:
All participants must remain in the south stands during the meet. The warm-up area will be on the grass areas outside the main track on the west and south sides. No warm-up will be permitted on the infield. Porta-potties will be located near the warm-up areas.

ALTERNATES:
Should you have an athlete or relay team listed as an alternate, they need to report to the alternate holding area well BEFORE the third and final call that is given ten (10) minutes prior to an event’s start. This alternate holding area will be marked with a sign at the Clerk of the Course. The Clerk of the Course will not call over the public address system for an alternate. BE SURE TO HAVE AT LEAST ONE MEMBER OF AN ALTERNATE RELAY TEAM IN THIS AREA BEFORE THE LAST CALL FOR AN EVENT. Be aware that if your athlete is listed as an “alternate” that they are an alternate for ALL RACES OF THAT DISTANCE in their section of the meet.
