Dear Coach,

Welcome to the 1st ever Yolo County Championships co-hosted Woodland and Davis High Schools and race directors Chuck Bruns and Bill Gregg. As race directors, we both have long wanted to host a unique local cross-country invitational that showcases the hills found just a few miles beyond the city of Woodland. Most recipients of this letter have already confirmed their commitment to partake in this event and we expect the day to include a nice offering of teams from the Sac Joaquin and neighboring Sections. We hope that this event will become an annual event for you and your teams. If we can do anything to make your visit and participation a better experience please feel free to contact us and share your insight.
Below you will find general information regarding the meet. To ensure that this inaugural meet “comes off” efficiently and provides both an enjoyable and competitively manageable field, team entries are limited to no more than 25 high school and 10 junior high teams. Please be aware to return your entries with U.S. postmark deadline of Tuesday, September 23rd or email return to: [email protected] by Friday, September 26th, 2003.

General Meet Instructions

Directions, Parking, Packet pick-up:
The Yolo County Championships is contested on private property which is a commercial vineyard operation. To reach the meet from Sacramento on I 5 you will exit the Yolo exit (2.7 miles north of the West St. exit in Woodland) and go over the overpass on Road 17 1.7 miles. Turn left at Road 95A and continue .4 miles until the road turns to the right and becomes Road 17A for the next .3 miles. Turn Left on Road 95A and drive .5 miles and then turn Right at Road 18. You will be directed to park or unload your bus at this point. Large colorful signs will also be posted from the Road 17 exit to the race course to make this route very clear.
Personal automobiles and small vans will be directed to park along road 18 (Refer to enclosed map and directions) by parking personnel. Your school bus driver will be directed to a loading zone to drop-off location and then be directed to park in the overflow lot off Road 95. Shuttle service for drivers to the race area and back to the parking lot will be available.
As you arrive, please check at the official registration table to confirm fee payment and pick up your team packet. In your packet will be final instructions, race labels to be worn by your athletes, and course maps.

Fee payment, mail in entry, and contact information:
Junior High: Entry fee is $3.00 per athlete, not to exceed a school maximum of $75.00.
High School: Entry fee is $7.00 per athlete, $25.00 per team per division with maximum school fees not to exceed $120.00. Please come prepared with school or personal check or cash to pay your entry fee. Packets will not be given without payment. Make checks payable to Woodland High School Cross-Country. A receipt will be provided.

8:00 a.m. Junior High girls 1.5miles (grades 6-8, unlimited entries)
8:30 a.m. Junior High boys 1.5miles (grades 6-8, unlimited entries)
9:00 a.m. Frosh/Soph girls 2.0 miles (9 & 10, unlimited entries)
9:20 a.m. Frosh/Soph boys 2.0 miles (9 & 10, unlimited entries)
9:40 a.m. Varsity Girls 3.1 miles (top 7 only)
10:10 a.m. Varsity Boys 3.1 miles (top 7 only)
10:40 a.m. JV Girls 2.0 miles (11th & 12th grade non top 7 girls)
11:10 a.m. JV Boys 2.0 miles (11th & 12th grade non top 7 boys)
11:30 a.m. Coaches/Community Run 2.0 miles
12:00 a.m. Awards Ceremony All Divisions

Starting line and Race Course: Please have your team report to the starting line area 15 minutes before the starting time. Complete teams (at least 5 runners) will be assigned starting boxes, while non-team scoring individual runners will be assigned collective individual starting boxes. Runners will be checked that uniforms meet National Federation guidelines and that finish stickers are properly worn.
The course features wide groomed trails through local Yolo County vineyard , several medium hills and one challenging hill on the 3.0 and 2.0 course. Please make sure your runners stay out of the vineyards and on the designated trails and official team areas at all times! Failure to heed this warning could result in a team’s disqualification. The course includes a short stretch of asphalt near the start. The course will provide very clear views to the race, especially with the help of binoculars!

T-shirts and concessions: Commemorative T-Shirts will be sold for $12.00 on race day. A limited number will be available, purchase your shirts early!!
A concession stand with coffee, hot cocoa, sodas, bottled water, bagels, muffins, fruits, home baked goods, Powerbars and much more will be offered.

Trainer/First aid: two staff trainers will be available to assist with minor health and injury concerns.

Water, Restrooms and shade shelter: Due to the remote nature of this setting, your team should come prepared with plenty of water and liquid refreshment. You are encouraged to bring a shade shelter as limited shade and protection from the sun will be available. Ample portable restrooms will be on site.

Scoring and Results: All divisions with team awards will use standard scoring allowing for 6th and 7th runners displacement. Individual runners will not be counted in the score.
Race management hopes to provide complete results at the conclusion of the awards ceremony. Full and complete results will be mailed to each team and posted on: dyestatcal.com within 24 hours of the race.

Awards: All medals and ribbons will be given to “top” finishers in the finish chute. Team awards will be presented between races and at the end of the meet. Awards will be presented as follows:
Junior high boys and girls: medals to 1-5, ribbons 6 -20, 1st place team plaque.
Frosh/Soph boys and girls: medals to 1-10, ribbons to 11-25, 1st & 2nd place team plaque.
Varsity Boys and Girls: medals to 1-10; ribbons to 11-30; 1st , 2nd and 3rd place team plaque.
JV Boys and Girls: medals 1 – 5, ribbons 6-10; 1st place team plaque.
