Management Committee Meeting
Tuesday, October 29, 2002, 10 a.m.
Committe Members present: Bob Baker, Paul Castillo, Marge Fulton, Keith
Gilliland, Richard Gonzalez, Hal Harkness, Paul Mahoney, Jack Malloy,
Bob McGuire, Doug Speck, and Brian Springer.
I. Welcome
A. Hal Harkness offers invitation to tour spacious new office facilities
afterward.
II. Championship Bulletin
A. Timing/Officials/Rules
1. Don Chadez informed Hal Hatrkness that FlashResults would be unable
to time the postseason meets in 2002.
2. George Varvas will assume timing duties for postseason, using same
program as used for Woodbridge Invite and improvised by Mt. SAC
a. All athletes to wear bib numbers with bar codes. Spindles to be used
as backup.
3. Paul Mahoney, Bob Baker (starters) and Keith Gilliland (finish area
coordinator) will coordinate communication on real-time restart scheduling,
etc.
a. Video backup will once again be used.
b. Jack Malloy suggested at least two and maybe even three finish judges
(apart from the timers) be used. He emphasized all must coordinate and
devise a strategy for working will together, so the environment remains
orderly and focused.
3. National Federation rule regarding all visible jelwelry and uniforms
will be enforced. If any questions exist regarding these rules, coaches
need to bring these to the attention of the CIF-SS office well in advance
of the meet.
4. Toyota will be an event sponsor and a new banner will be used.
B. Time schedule
1. No longer will tentative race time schedules be publicized before seeding
day. Coaches/schools/parents get confused once the number of heats are
revised due to qualifying teams per division.(Hal also briefly touched
upon the number of new schools popping up, which should become Division
I schools, sizewise, in a few years. This will obviously increase the
number of teams competing at prelims, having a possiuble effect on the
time schedule. Also the Division V CBEDs were revised twice in Augustm
but they are correct now.
2 . Skip Stolley will still have "open" races in between the
high school schedule at prelims (during the "break"), but there
will be no high school division allowed allowed as part of that race series
this year (it was done last year, but came under criticism from some groups).
3 . Peninsula athletes/volunteers will help work the morning session at
prelims -- Diamond Bar for afternoon. Diamond Bar slated to handle volunteer
help at finals.
4 . On the Saturday morning of the prelims (November 16), Hal Harkness
will give all committee members a copy of the revised schedule and identities
of schools in each heat. (Editor's note: They will be posted online at
Saturday, November 9.)
5 . Mt. SAC will play host to a football game at 6 p.m. on prelims day.
C. At-large berths.
1. Hal Harkness re-iterated that any team that does not qualify from its
league automatically can advance to prelims, so long as it was ranked
in at least two of the last three (2 of 3) official CIF-SS polls.
2. Hal Harkness asked for a preliminary list of at-large candidates from
Rich Gonzalez, who listed nine good candidates who are CURRENTLY in danger
of not automatically advancing from their leagues or are free-lance schools
that are ranked. (Editor's note: This may change based on the identity
of automatic qualifiers from each league.)
D. Course/Security/Alternate Course
1. Some on the committee expressed concern over the condition of the asphalt
on the airstrip, with Bob McGuire volunteering to ask Mt. SAC on the possibility
of looking into the issue. The course undergoes ample use, and it appears
some of the airstrip is deteriorating.
2. Walkway for spectator crossing will be limited, much like it was this
past weekend for the Mt. SAC Invitational. The walkway utilized in past
years that was located at the "crossover turn" which takes runners
from Switchback Hill to Poopout Hill was much more controlled this year,
leading to lead potential problems.
3. According to Hal Harkness, Mike Goff (Mt. SAC coaching staff) came
up with a new rain course last year that stays solely on the south side
of Temple Avenue. However, to use it, partial use of the regular course
is needed. The course seemed to hold up well over last weekend at Mt.
SAC.
4. Two finish clocks might be utilized, since no double-sided digital
clocks are available. Another digital clock will be in the clerking area.
This one will only display the time of day, to alert coaches/athletes
in keeping them in tune with the time schedule.
E. Awards
1. To be done in tented area.
2. First 10 kids per division will be called into the awards tent for
All-CIF recognition. Not just the race winner will be introduced.
F. Roundtable Ideas
1. Bob McGuire re-emphasized the importance of keeping the finish line
"funnel chutes" going smoothly by anticipating the flow of "athlete
finish traffic." This will help avoid "backups" and related
problems (spotting/judging, etc.) in the finish line area.
2. Rich Gonzalez offered up the identity of two more teams for at-large
consideration.
3. Paul Mahoney inquired about who would handle paramedic duties. Wanted
to make sure we were covered there.
4. Keith Gilliland -- all ok.
5. Marge Fulton -- Attention needs to be given to communication from clerking
area to other areas (for a need to inform of a partial team trying to
compete, for instance). After discussion, it was decided that at least
five members must be on the start line to constitute a team. If less than
five team members are on the start line, that school's runners will not
be allowed to compete. If any of those team members placed in the top
six in their league final, however, they will still be allowed to compete
as an individual.
6. Doug Speck -- all ok.
7. Brian Springer -- Wanted to make sure school supervision rule was still
in effect. He was informed by Hal Harkness that it was.
8. Paul Mahoney -- Inquired to see if the starters had the authority to
slightly alter the meet time schedule on their own when conditions require
it.
9. Bob Baker -- all ok.
10. Jack Malloy -- all ok.
11. Paul Castillo -- all ok.
III. Meeting adjourned.
