Excel Data Entry Instructions

PLEASE READ THESE INSTRUCTIONS BEFORE ATTEMPTING THE DATA ENTRY. Let me give you a few examples on how to enter your data into the PROGRAM.XLS Excel file for the League Finals.

Note: You MUST use a PC with Excel (a MAC will not work, Quatro Pro will not work).

1) Download the Excel file from the web. Click here. 2) There are 2 worksheet tabs that you will be working with (ignore the others), they are: - Data_Entry_Track - Data_Entry_Field Do NOT use one worksheet for both Track & Field entries - THIS IS WRONG INPUTTING! 3) in all events, you are allowed only 3 entrants unless you have more whose marks are in the Top 8 of the League entries. 4) Let's start with DATA_ENTRY_TRACK - Please use Upper & Lower case for the name (all caps doesn't look great) - First Name, Last Name should be obvious - Year is the Grade - please use 9, 10, 11 or 12 - Q_Time is their qualifying time. The format should be: for a 1600 time of 5:10.1 you can enter: 05:10.1 5:10.1 5:10.10 and it will be converted to the format of 05:10.10 for a time of 5:10 you must be sure to put in the .0 for tenths, if not, it will be converted to an incorrect time. For anything under a minute, please be sure to type in 0:59.1 so that the converted time will be 00:59.10 (not :59.1) - this is for consistancy. 5) Now on to DATA_ENTRY_FIELD (format = ffii ... 2 characters each for BOTH feet and inches) - As an example, to enter a LJ mark of 21'08 1/2 you would type 2108.5 another example ... LJ of 20'09 type 2009 (209 is incorrect)! and another LJ 20'00 type 2000 The cell will automatically convert the mark to the proper format. DO NOT type in a "-" when entering field event marks - this will mess up the SORTing if you do! A HJ mark of 5'02 can be entered as either 502 or 0502. A Disc mark of 123'00 can be entered as 12300 (not as 123). 6) When you're all done, the Track (& Field) table should look as follows: TRACK Evt_NoEvent Div Heat Lane First_Name Last_Name Year SchoolQ_Time T_Time FTime Track = MM:SS.TH 01 400R VG 1 1 Gunn Gunn 00:52.20 02 400R VB 1 1 Gunn Gunn 00:46.40 03 400R JVG 1 1 Gunn Gunn 00:54.80 04 400R FS 1 1 Gunn Gunn 00:47.60 05 1600 VG 1 1 Tori Tyler 11 Gunn 05:14.10 05 1600 VG 1 2 Lauren Morimoto 11 Gunn 05:41.50 06 1600 VB 1 1 Andrew Lipkin 12 Gunn 04:20.92 06 1600 VB 1 2 John McGee 12 Gunn 04:29.60 06 1600 VB 1 3 Jimmy Huang 11 Gunn 04:47.65 07 1600 JVG 1 1 Annie Wiley 11 Gunn 05:45.72 07 1600 JVG 1 2 Megan Fung 10 Gunn 05:58.90 07 1600 JVG 1 3 Jennifer Yih 9 Gunn 05:59.90 FIELD Evt_NoEvent Div Heat Lane First_Name Last_Name Year SchoolQ_Time T_Time FTime Field = FFII.xx format (ie 21-06 = 2106) 41 Shot VG 1 1 Chrissy Filipp 12 Gunn 29-02. 42 Shot VB 1 1 Adam Juratovac 11 Gunn 43-01.5 42 Shot VB 1 2 Zack Ross 11 Gunn 40-02. 43 Shot FS 1 1 Lawrence Park 9 Gunn 37-01. 44 Shot JVG 1 1 Audrey Pereira 10 Gunn 26-03.5 45 Disc VG 1 1 Chrissy Filipp 12 Gunn 69-10. 45 Disc VG 1 2 Tal Cohen 10 Gunn 79-02. 46 Disc VB 1 1 Adam Juratovac 11 Gunn 130-03. The event #, event, division, heat and lane columns MUST be left alone. Put the appropriate information in the approproiate columns. Do NOT change the FORMAT of the CELLS. Use Excel on a PC - Appleworks on a MAC will just mess things up. 7) If you have any questions, please e-mail me at [email protected] 8) Save the file as your school name.XLS (ie. LYNBROOK.XLS) and e-mail to me. 9) If you enter 4 athletes for an event for you believe they will all be in the Top 8 entered athletes, you must tell me who to drop if they don't all qualify. If you do not specify who your 4th athlete is and what to do with them, I will assume that it is the slowest entry and they will just be completely removed from the meet. If this is a bad assumption, then you MUST tell me what to do.
